SOP Formatter: Turn Your Procedure into a Controlled Document

Upload the Word file. It comes back as a controlled document — numbered clauses, a contents page with real page numbers, a revision history table, page x of y — with a checklist of what an auditor looks for.

A standard operating procedure is read by clause: someone cites 4.2.1, finds it on the contents page, and checks the revision table to see whether it changed. Word can do all of that with multilevel lists, TOC fields and tables, and most SOPs arrive with none of it because it fights back. Veermat reads the document you wrote, numbers every heading styled in Word as Heading 1, 2 or 3 (1, 1.1, 1.1.1 — or keeps your own numbering if you have one), generates a contents page linked to the headings with page numbers taken from a real render, adds a revision history table if there is none, puts page x of y in the footer, and sets Calibri 11 with headings by level. Then it reports the document controller's checklist: title block with a document number and version, revision history, contents, numbering, the sections an auditor expects (Purpose, Scope, Responsibilities, Procedure), an approval block. Your wording never changes. Checking is free; the editable .docx downloads with Pro.

How it works

How to format an SOP in four steps

The fastest way to format an SOP without manual copy-paste, screenshots, or formatting cleanup.

  1. Step 1

    Upload your Word document

Drop in the messy .docx you want cleaned up. Your file is processed only to format it and is never used to train models.

  2. Step 2

    AI reads the structure

The AI detects headings, body text, lists, and tables, and finds inconsistent styling, without changing any of your wording.

  3. Step 3

    Formatting is fixed

Heading styles, alignment, spacing, fonts, lists, indentation, and margins are made consistent across the whole document.

  4. Step 4

    Download the clean .docx

Get a still-editable Word file that opens in Microsoft Word, Google Docs, and LibreOffice: clean formatting, your words unchanged.

In short

To format a standard operating procedure in Word, upload the .docx to Veermat: it numbers the headings as clauses (1, 1.1, 1.1.1), generates a contents page with page numbers, adds a revision history table and page x of y, sets consistent typography, and reports the checklist — document number and version, revision history, contents, numbering, Purpose, Scope, Responsibilities, Procedure, approval block. Nothing in your text is rewritten.

What is the standard format for an SOP?

A title block with the SOP number and version; a revision history table; a contents page; numbered clauses (1 Purpose, 2 Scope, 3 Responsibilities, 4 Procedure with 4.1, 4.1.1…); definitions where needed; an approval block (Prepared by, Reviewed by, Approved by); and page x of y on every page. Upload your procedure and Veermat numbers the clauses, generates the contents page and revision table, adds the footer, and reports which of these are present.

ISO 9001 · GMP · internal audit

Numbered, listed, versioned — the way an auditor reads it

An auditor opens an SOP at the revision table, checks the version against the register, and turns to the clause the checklist names. The formatter builds exactly that path: revision history after the title, a contents page with page numbers, three levels of clause numbering, page x of y — and a report that says whether Purpose, Scope, Responsibilities and Procedure are all there.

  • Clauses numbered 1 / 1.1 / 1.1.1 from your heading styles
  • Contents page linked to the sections, with page numbers
  • Revision history table added when missing; yours kept
  • Purpose, Scope, Responsibilities, Procedure and approval block checked

Features

Why people choose Veermat to format an SOP

Clauses numbered 1, 1.1, 1.1.1

Every heading styled Heading 1, 2 or 3 in Word gets its clause number, three levels deep, so a reader can cite a paragraph. If you numbered the headings yourself, your scheme is kept and reported.

A contents page with real page numbers

Generated from your headings, each entry linked to its section, with page numbers taken from an actual render of the finished document — not a field that says “update me” when the file is opened.

Revision history and page x of y

A revision table (version, date, author, description) is added after the title when there is none, ready for this issue’s details, and the footer gets “Page 3 of 12”. An authored revision table or footer is kept.

The sections an auditor looks for

The report checks the headings for Purpose, Scope, Responsibilities, Procedure, for a document number and version in the title block, and for a Prepared by / Reviewed by / Approved by line — and tells you which is missing.

Use cases

Where it helps most

SOPs for audit

An ISO 9001, GMP or internal audit asks for controlled documents: numbered, with revision history and approval. Run each one through before the auditor does.

Documents written by several people

Three authors, three heading styles, no numbering. One run gives the whole document one scheme, one contents page and one look.

Converting an old procedure

A procedure last issued in 2014 as a plain Word file comes back as a controlled document with its sections numbered and listed.

Before submission

Upload, read the checklist, fill in the revision table and the approval line, download. Faster than rebuilding the TOC field at the last minute.

Frequently asked questions

Does it add the SOP number for me?+

No — it cannot know your numbering scheme. The report flags a missing document number or version so you can add “SOP-014, Version 1.0” to the title block.

Will it renumber headings I already numbered?+

No. If any heading already carries a number, your scheme is kept and the report says so. Numbering is added only to documents whose headings have none.

My headings are just bold text, not Word heading styles.+

Numbering and the contents page work from Word’s Heading 1/2/3 styles, so the checklist will ask you to apply them. Select each heading, choose the style, and re-run — it takes a minute and the rest is automatic.

Does the contents page update in Word?+

Yes. The entries are real links to the headings with page-reference fields; the numbers you see were filled from a render, and Word refreshes them with Update Field if you edit the document.

Does it rewrite any of the text?+

Never. It adds structure — numbers, a contents page, a revision table, a footer — and sets layout. Every word you wrote stays as written.
